Children’s Fair

The Annual Children’s Fair is coming to MLT!

Children’s Fair Committee Descriptions

Cupcake Decorating

Create a cupcake decorating station for the children. Includes getting cupcakes (or coordinating baking of/community donations), choosing edible decorations, and running the activity (set up, staffing, and clean up).

Food

Create a small lunch/snack menu and coordinate for sale. Includes choosing menu and setting pricing, coordinating purchase of goods, and running the station (set up, staffing, and clean up).

Prizes

Create a prize table for the children to come to after they play the games. Includes choosing/purchasing the prizes (based on budget from Fair Chairperson), determining number of tickets per prize, and running the station (set up, staffing, and clean up).

Tickets

Entails coordination of pre-fair bracelet sales and day-of ticket sales. Includes collecting pre-sale forms and tallying on a weekly basis (for approx. 4 weeks prior to event), creating a bracelet distribution process, and determining number of prize tickets per game. Must also choose colors of all tickets to be used the day of the Fair (games, prizes, raffles, etc) to ensure tickets are used in their appropriate areas. Includes running the ticket station the day of the Fair (set up, staffing, and clean up).

Cake Walk

Run a Cake Walk game at the Fair. Entails getting baked goods (or coordinating baking of/community donations), and running the activity (set up, staffing, and clean up).

Games

Ensure that the games are in working order and that you have all of the necessary pieces to play. Entails set-up the night before, monitoring the day of the event, and break-down following the event.

Silent Auction

Coordinate the Silent Auction. Includes obtaining prizes to be auctioned off, organizing prizes received for display/delivery, creating bid sheets (including setting minimum bids), running the area (set up, staffing, and clean up), and follow-up after the event (delivery of prizes, thank-you letters, etc.).

Volunteers

Volunteer to get the volunteers! Taking the stress off of the sub-chairs, this person works with the room parents, local youth organizations, and local businesses to coordinate a master schedule of volunteers for each activity/area.

Publicity

Create and implement a master communications schedule. Maximize resources (such as newspaper, newsletter, eblast, social media, etc.) to ensure streamlined communication home to the families. Will entail collaboration with sub-chairs as to ensure all needs are met (i.e., baked goods for cake walk, raffle baskets items, bracelet forms for tickets, etc.).

Crafts

Create a craft station for the children. Entails choosing and purchasing crafts, coordinating materials needed, and running the activity (set up, staffing, and clean up).

Raffle Baskets

Coordinate the Raffle Baskets. Includes choosing the class themes, coordinating with the teachers for collection of items (and shopping if parents send in money!), wrapping/decorating for display, and running the station (set up, staffing, and clean up).
